OUR TERMS AND CONDITIONS
ORDER PROCESSING
Upon receiving Your orders, we shall email you our pro-forma invoice, which will detail your purchase, along with, our payment and delivery terms and conditions. And, we shall check the best shipping options based on your delivery address and accordingly quote you a complete price of your watch including 21% VAT ( if applicable ) and the shipping costs.
Orders are processed and shipped within 24 hours of receiving payments. Orders placed on weekends and official holidays will be processed and shipped on the following business day. Usually we have stocks of all, or, most of the items displayed on our shop, however, at times, we may run out of stock, therefore, under such situations and or circumstances, the delivery maybe delayed. Ideally, when we have stocks, deliveries are prepared within 24 hours from receiving payments, and in situations where we may not have stocks, deliveries may take up to 4-6 weeks or more. Whatever be the situation, we will surely notify you upfront. To summarise, when we have stocks, deliveries may take around 9-12 business days ( or more ) to reach you, and just in case when we don’t have stocks in hand, we shall let you know the estimate delivery time for your orders. Please also make a note, at times, there could be un-known and un-wanted delays, in transit, caused by the logistics companies, in such a situation, we shall co-ordinate together with you, making sure, you receive your orders. While this is not something that happens often, but, yes, we admit, in the past, we have had experienced such situations, where orders within Europe took much longer than the estimate delivery time, and, we had no explanations from the logistics company on such experiences. Therefore, we request you to kindly understand and cooperate with us in such situations.
ORDER PROCESSING for out of European Union region
We welcome orders from Countries outside the European Union. However, please make a note, such orders are “exports” therefore, we will need at least 1-2 days to prepare the documents, and the parcel. First, the parcel goes to the EU Customs, where it is checked, and at times, the customs do open the boxes to check the contents, especially when orders are to be sent to USA. After the EU customs check, orders are exported. Upon arriving in your destination Country, Your Customs will again check the order and the contents of the parcel. The US Customs does check every parcel for sure. And, therefore, these are, but, some of the reasons for delays in deliveries. And, we don’t make such laws, therefore, we cannot do anything about such delays.
We do however, strive to make sure, upon receiving Your orders and payments, we prepare the orders and hand it to our logistics partners at earliest. And when we receive the tracking numbers, we try to share those with you at our earliest convenience.
For all export orders, meaning a delivery address outside the European Union Countries, You need not pay 21% VAT. However, please make a note, that, your logistics company may charge you local taxes and import and customs and clearing fee, and other such local taxes and duties, depending upon your local laws and regulations with taxes of Your Country of delivery.
PAYMENTS
We prefer online payments to our bank account, in The Netherlands. However, we also accept payments via PayPal, only, if You, would want to use PayPal payment gateway. Please note that; your order will not be processed until we have received notification of your payment from our bank. And, should you choose to pay with PAyPal, we will charge you an extra amount, which is the fee and commissions paid to PayPal gateway.
- Bank transfer: Payment must be confirmed within 3 days of the date your order is placed. If payment is not received within the due date, your order will be automatically cancelled. In the bank transfer, it has to be specified the reference number of your order as well as your name and surname and if possible your delivery address as well. Bank transfers usually take around 1-2 business days to appear in our bank account. International transfers from outside the European Union may take a bit longer! You must pay all the bank costs and commissions. And, please share your payment confirmation, so that, we can also follow up and prepare your orders accordingly.

- PayPal gateway: Should You want to use PayPal to make Your payment, we shall email you the link for PayPal payments. Please understand that, when you choose to pay with PayPal, we shall charge you extra, these are the commissions and fees that we end up paying to PayPal. You can chose to pay either with your PayPal credit or using any of your credit / debit cards accepted by PayPal. Your data will be managed and identified solely by PayPal. We do not store and or manage any payment details.
SHIPPING OPTIONS & DELIVERY
Orders may be either shipped from our studio in Amsterdam in The Netherlands with NL Post or from our studio close to Warsaw in Poland, with DPD Logistics / EMS Speed post / PL Post, or even with UPS Logistics, depending upon the best options, we will details these in our offer to You.
These following shipping options are available, unless otherwise specified:
– Standard Economy: usually takes around 9-12 business days for deliveries within European Union, whereas, at times, may take bit longer, depending upon your City, Country, Zone.
– International Economy Deliveries: available for international orders, that is, orders sent outside European Union. For this, we may use NL Post / PL Post / EMS Speed post. OR the best option is with UPS Logistics. The estimate delivery time could be around 18-21 days, depending upon Your address, City, Country and Zone. Further, please make a note; the logistics company may charge you around 10% ( more or less ) as their service costs, for clearing and forwarding, and an additional import and custom duties, and your local sales tax / VAT / GST taxes, as per the tax laws and regulations of Your Country. To get an idea about these taxes, you may check these online or check with your local tax authorities.
SHIPPING COST
Shipping charges may vary depending on the package size, weight, destination and shipping method, unless otherwise mentioned, where the price for shipping may be included in the offer.
Estimate shipping costs by DPD Logistics within Europe could be around and between Euro 29 to Euro 79 depending upon Your address, City, Country and Zone.
Estimate shipping costs by UPS Logistics, outside Europe, meaning, where the delivery address is outside the European Union Countries, costs could be around and between Euro 99 – Euro 149.
We usually, pay for the insurance of every parcel we send. However, some Countries have regulations where they do not enable such insurance on parcels. We might mention these as notes or essentials in our offer to You.
SPECIAL NOTE AND SHIPPING OUTSIDE EUROPEAN UNION
We may not ship to PO Boxes. Our Logistics might not want to ship to PO boxes.
Please note: as of now we are fully organised with shipping within European Union, working either with NL Post in The Netherlands providing a global logistics solution, or working with EMS Speed post or PL Post when shipping orders from our stock point from Poland.
Ideally, for all orders and deliveries within Europe, We however, prefer to work with, DPD Logistics especially, when shipping from our stock point close to Warsaw, in Poland.
We can always organise to send orders to all other countries out of European Union, with UPS Logistics. However, please keep in mind about the extra costs UPS will charge You, as cleaning and forwarding, and, import and customs duties as per the tax laws of Your Country. And, any other taxes that may be applicable.
SHIPPING ADDRESS DISCLAIMER
Your shipping address may not be checked by our system for security reasons and to guarantee the best delivery time. We do not have an address verification software package yet, which checks or contains all valid addresses from the European Union States or even outside the European Union States. Therefore, we rely on your accuracy to provide your shipping address. We copy paste your address which you provided when placing your order. PRICING AND TAXES
Citizens and Residents of European Union States are bound to pay the VAT. Even if you are not a Citizen and or a Resident of European Union States but, if your delivery address is in any of the European Union Member States, you are bound to pay the VAT. Citizens and Residents outside the European Union States maybe eligible for a VAT refund, conditions apply as per the European Union Tax Laws and Regulations and or The Netherlands Tax Laws and Regulations. VAT is usually charged upfront while invoicing, therefore, for Citizens and Residents who stay outside the European Union States, please make a note that, we may work to claim for your VAT refunds; in order to process this, we will need to submit your purchase and delivery proof which is an original invoice (which we generate from our system) and, we will need to also attach the delivery proof to your address outside the European Union, this is the document which we will collect from the logistics company who makes the delivery to your address, and we can get confirmation, only when the delivery has been successfully made. We file all VAT refunds once every end of the quarter, once in 3 months, and it usually takes around 1-2 months and sometimes more, to get this refund. Please make a note that, we can only file for your VAT refunds, while the decision of approval of this refund is decided by the European Union VAT refund regulations and or The Netherlands Tax department, therefore, if by any chance, if your refund is refused, we should not be held responsible for this matter, after-all, we are doing this service for You as our gratitude to You for shopping with us. And of course, as soon as (if) we get your refund, we will issue You a discount code of the same amount and email this as a gift voucher to you and you can redeem it on your next purchase with us. We hope we have clearly explained the VAT refund essentials, however, if You still have any questions and or concerns, please feel free to email us.
HOLIDAY SEASON AND DELIVERIES
The holiday season especially around Christmas time gets really very busy. We usually take a holiday break from 21st December till 11th January of the following month /. year. Therefore, orders arriving at the last moment, shall be delivered accordingly. Please also consider the fact that, around 23rd December onwards, even the logistics companies get too occupied, therefore, deliveries around those days cannot be confirmed upfront. In such situations, please discuss the best options what we can arrange.
WARRANTY AND OTHER MATTERS
When You buy from us, especially your, Swiss Watch, will come with a warranty card valid for the period as described in the product information. All watches sold by us are guaranteed to be original, new and authentic, and, sourced from their principle companies who are manufacturers. We retail Swiss Made Watches only from Swiss Watch makers registered with The Swiss Watch Federation, therefore, assuring you of the finest Swiss Made Watch. Further, We offer an additional 1 year warranty on all Our Swiss Watches sold on our Swiss Watch Shop by Hagardhs BV (warranty is always on manufacturing defect and not for miss handling and wear and tear).
Battery life: We guarantee the battery life for quartz models to be around 12 months ( more or less ). If your battery dies off before these 12 months from the purchase date, we are extremely sorry for that, however, we will be happy to replace it free of cost or if you are located far off, we shall offer you a special price off on your next purchase.
Automatic watches: We assume you know the mechanism about Automatic watches. In simple terms, when you wear your watch and your arm makes movements, the watch automatically winds itself ( remember those old model watches which we had to wind manually, with automatic watches, this winding of the watch happens with the movement of your arm ). Therefore, you need to wear your watch in order to be sure it keeps timing. On an average, most of Our Collections of Automatic watches have a power reserve time of around 24-36 hours, more or less, ( unless otherwise mentioned about the longer power reserve times ) which means, you can wear the watch during the day and at night if you leave it aside, it still keeps running, but you should wear it again the following day. If you don’t, your watch might stop. This does not mean it is damaged, all you will need to do is, shake it softly and wear it again and it will start working again, you might need to re-adjust the time/date/day. You may need some servicing done of your Automatic watch once in some 5-6 years, depending upon your usage, wear-and-tear and the weather conditions. Usually, Automatic watches in Europe smoothly run for longer period of time, as compared with Asia, because of the high humidity there.
Leather straps and all other leather items from our collections: The life of your leather strap and or the leather belts and any other leather items from our collection depends absolutely upon how you use and care for it. For some, leather products last for several years, whereas, for few, these might get worn out in 1-2 years ( happens especially in very high humid climates especially with leather straps for watches ). Leather straps and leather products are not covered under any warranties.
Stainless steel bracelets: Most of the stainless steel bracelets last long, really long. You should occasionally take some care with cleaning your watch and it’s bracelet with a moist cloth. Do not use any strong chemicals, rather, just water with a soft cloth.

PLEASE make a note; We are sorry but, we do not accept returns and or make exchange on your purchase. Please try and understand, once You have placed Your order, and, we have shipped Your order, there is no more an option to cancel and ask for refunds. Of course, if we send out a wrong order, it’s our fault, and we shall make sure, You get Your order right. However, if we send out Your order rightly, and, upon receiving, if You feel You don’t like it, We are sorry, but, we do not accept returns and or make any exchange. REMEMBER, those airlines and hotels, who offer low prices at no cancel no refund policy? Well, we are trying somewhat similar. We are a small family owned company, working from our home studio, with very little margins, we have no pocket, to offer returns and refunds. We hope we have respectfully explained this. Let us also, detail our returns and exchange policy in much detailed explanation. As below;
Swiss Watch Shop is an eShop from Hagardhs B.V. a private limited, family owned, company registered with The Chamber of Commerce in The Netherlands. We operate simple, working from our home studio in Amsterdam in The Netherlands, with a partial stock point close to Warsaw, in Poland, thus, keeping our costs low. We work with very low margins, thus, able to provide you with very competitive prices. This is one reason, we do not accept returns and or make an exchange offer. PLEASE Remember, often airlines and hotels offer discounted prices with no-refund and no-cancelation policies? Well, we are trying to use a similar strategy, so that, You can enjoy some of ‘Our Finest Swiss Made Watches’ and also with affordable prices.
However, only in an event if we ship wrong orders to you, You may return any unworn, undamaged merchandise purchased online from Our Swiss Watch Shop within 3 days ( no exceptions ) of delivery date, for an exchange of the Swiss Watch you had ordered. Items will be inspected upon receiving at our service centre and if we find it was worn or has scratches from wearing or miss-handling or any such signs and symptoms, we will either refuse to accept it under our exchange policy or might charge you an amount to cover the costs of refurbishment. Our stores DO NOT sell and or trade refurbished and or used items, therefore, in such matters, we really have to be precise with you. Merchandise purchased online may also be returned for an EXCHANGE at any of our corporate and or retail store. If returned by mail, you may need to pay for return shipping, and we may adjust those costs in our exchange offer and we may ship any exchanged item free of charge. Shipping & handling fees are usually non-refundable, except for defective or wrongly shipped items.
Items must be returned in their original packaging, including invoice, or any packing, and or stickers and or documents and or warranty cards, which came along with it, and all accessories, extra links, and anything else that came with the item. Usually, before sending the order, we email or share a photo of the parcel over email and or WhatsApp. Just to be sure, every thing goes smooth.
Batteries, straps (plastic, leather, or metal) and reduced priced items (reduced retail price, special promotions, sales etc) are considered ‘Final Sale.’ Final Sale items are non-refundable, non-exchangeable, and may not be redeemed for cash exchange unless required by law.
Further, if the merchandise is damaged or defective upon delivery, Ideally you should refuse to accept delivery if you suspect it is damaged by miss-handling by the logistics company and must make photos of those and email us, or send those photos by WhatsApp, so that we can follow up on this with our logistics company. We usually, always pay for insurance from our side, especially for orders for our Swiss Watches, therefore, if you receive a broken box or a box which is clearly miss-handled by the logistics company, you must refuse to accept it, and PLEASE make photos of the item and email us, so that, we can claim insurance from our logistics and or the courier company.
HOW TO MAKE A RETURN EXCHANGE
In situations, where, we have shipped wrong orders, please get in touch with us and we shall take over the responsibility to make sure You get Your order correctly. Our contacts are shared below.
DEFECTIVE OR WRONG MERCHANDISE
If your merchandise has a significant manufacturing defect right out of the box (e.g., the product has missing parts, etc.) or you have received the wrong merchandise, we’ll be happy to exchange it. Please email us along with photos and details mentioning those details, so that, we can forward those to the logistics company to claim our insurance. If there is anything missing, we will ship that to you free of cost.
In an event if we ship out wrong or incomplete order, thats our fault, hence, we will be happy to exchange your order or send out the missing items. You will not be charged any additional shipping fees for such replacement. And we may also issue You credits which you can shop on our Swiss Watch Shop in your next purchase, or even pass it as gifts to your family and or friends.
In simple words; if We made an error, You sit back and relax, and we will sort it for You, and that too very well in your favour. And if our shipping company made an error, then too, You sit back and relax and we will sort it out for You and, for all this inconvenience, we will issue you shopping credits which you can use to shop in our store.

However, once again, when You place an order and, we have shipped it, correctly, we do not accept any returns and or make any exchange. Please do not threaten us with the law of Your Country, or, if You or your family member is a lawyer. Because, we understand, You are mature enough to make a purchase of a Swiss Watch. At times, some people write to us, upon receiving the Watch, they don’t like it anymore, or their family member does not like it, we are sorry, but we can’t do anything on such matters. We say once again, we do not sell re-used, or refurbished, or pre-owned watches, therefore, we do not accept returns and make any exchanges, especially, when we send out correct orders.
DAMAGED MERCHANDISE
If you received a box which seems damaged, or was opened, and looks suspicious, we suggest you do not receive such a parcel. You must make photos and let us know. Usually, we pay for insurance for the parcels, unless, the government of Your country does not allow such an insurance, in such situations, we might let you know. However, what ever be the situation, PLEASE make photos and videos and share with us, so that, we can follow up with the logistics company to make claims and work out the best solution for us.
DELAYED SHIPPING
We work with the government post in Europe, which is both secure and reliable. For e.g. when sending orders from our studio in Amsterdam, we work with NL Post, whereas, when sending orders from our stock point close to Warsaw in Poland, we work with either PL Post and or EMS SpeedPost ( these are the only best affordable options we have at the moment ).
Yes we also work with DPD logistics for European deliveries. And, UPS logistics for exports, meaning, deliveries outside the European Union Countries.
And, usually, when sending orders, we share these estimate delivery times and tracking codes with you.
The estimate deliveries within Europe, depending upon Your Country and zone, may vary. However, we estimate deliveries within Europe to be around 9-12 business days, or more, sometimes, ( unfortunately, at times, its been even longer ). And for deliveries outside Europe, once again, depending upon your Country and zone, we estimate around 18-21 business days ( unfortunately, at times, its been even longer ).
Please make a note: these delivery dates are estimates. We have experienced where deliveries were made much earlier also. And, worst of all, we have had situations where deliveries took much longer.
Please try and understand, that, it’s not that such delays happen often, it’s really unfortunate and, it’s not much that we can do about it, because, after all, it’s all with the logistics company, once we have shipped the order. So, once again, please do understand, once the order is shipped and there is a delay in delivery, we cannot do much about it. However, we do coordinate between the logistics company and You, making, sure that, the order is finally delivered.
We also understand at times it can be uncomfortable for some, to have to wait longer. However, if the waiting time for delivery is too long and suddenly you decide to cancel your order and ask for refund, sorry, but we can’t do that. We don’t cancel orders on air and please don’t expect us to refund your money, while the order is on air. Well, under such a situation, we will still need to wait for the order, either to be delivered to You, or, if it wasn’t delivered to You, it must come back to us. Only then, we can discuss and work on a solution about your options for cancel and or refund. So, if you receive the order much delayed, and you still decide to cancel and refund, we will have to ask you to send us the order, exactly as we had sent it to you, unused, unworn, and together with every thing that came with it, packaging, links, warranty cards etc. you will have to pay for the post to our address. And When we receive it back, we shall inspect the order and if its in the same perfect new condition as we had sent, unworn, unused, and with all the packing and links that came with it, we may consider to refund the order value excluding the costs of post. No exceptions, PLEASE, because, this was not our fault anyways! Because, we want you to understand, this was an un-wanted, un-conditional and un-expected delay in delivery. And, we don’t want to be blamed for such a situation and end up with the heat and costs.
And, as mentioned earlier, when sending orders from our studio near Amsterdam, we may use NL Post for deliveries, whereas, when sending orders from our stock point close to Warsaw in Poland, we may either use PL Post, EMS Speed Post, or, at best, DPD Logistics, for European deliveries, and or UPS logistics for export deliveries, meaning, deliveries made outside the European union states, which is ideally a priority post, and these are logistics institutions from the government of European Union, and with DPD and UPS one of the finest corporates with logistics solutions. Therefore, we assume they are all reliable and secure. And, finally, one last and hopefully this never happens; if the order is lost, we will need that evidence from the logistics company in writing. Either You have to assist us get this evidence from your local authorities, or, we will try getting it from the logistics company we sent the order with. With this evidence, we will be able to claim the insurance and, only when we receive the insurance value, we will be able to refund You the same, or better, send You your Swiss Watch as You had ordered. Unfortunately, that is how it is! Sadly, we have experienced such once before, as, we respect our partner, who waited 2-3 months, and, eventually when we sent out the Swiss Watch, we both, thanked each other, after all, thats the watch our partner always wanted. And, We strive to be at Your service always.
And, once again, please, please, please, keep in mind, delays can happen and when it does happen, we will try our best to coordinate along with you and assist you. The finest emotion after all this is, when You receive your order, after all those delays, and discussions, over emails and WhatsApp with us, You decide to keep your order. And believe us, when You will open your box, You will enjoy your beautiful Swiss Watch. Because, every watch tells time, Only a Swiss Made Watch tells Your time, and this time, your Swiss Watch, will have a story to tell, and will have memories forever.
We are a small family owned company, working from our home studio, with low margins, to be able to provide You with competitive prices. And, we strive our best to provide You with our best services, at times, replying to your messages and emails around the clock, just to assure You, that, we care and feel thank you to You for shopping with us. Sometimes, we admit, because of delay in deliveries ( which is not in our hands ), we do end up in un-wanted situations. HOLIDAY ONLINE RETURN POLICY
The holiday return policy does not include returns for sale merchandise. The 3 day return policy may be extended to January 11th of the following New Year, for online purchases made until December 20th. Usually, we at Swiss Watch Shop – Hagardhs B.V. are closed for holidays starting 21st December till 11th January, of the New Year.
